The payroll process from A to Z
Seam SAP -payroll consultant, and previously SAP -payroll employee, I am well acquainted with the payroll process and the various tasks that must be performed during a month. You collect and record data, and run payroll . The salary must be checked and possibly corrected before you finalize, transfer to the bank, post and report to the authorities. In addition, there may be follow-up work such as internal reporting, reporting to a third party, and accounting tasks.
The tasks are largely repetitive, as you do more or less the same thing every month. One important thing I've learned when it comes to payroll , is that it is a good idea to create a good roadmap, i.e. a detailed list of tasks. You need to refine this, so that you always have good control over what has been completed for the current month, and which tasks remain. This roadmap will be the guiding document, and should be adapted to your company.
But, even if you have good routines, it will usually always get busy right before the payroll run. There can be several reasons for this, but my experience suggests that this is often because you either:
- Spends a lot of time checking if the salary is correct
- Has not distributed tasks correctly, which leads to some tasks being done twice
- Tasks are assigned to employees who lack the skills to solve them
The control job is of course absolutely necessary to ensure that the salary is correct, and we who work with payroll , I completely agree that the salary must be correct! But imagine if there was a system that could do some of these checks for you! Then you would have saved both time and resources. The good news is that such a system already exists! By implementing and using SAP Payroll Control Center, the system will do much of the control work for you!
A structured process for the payroll employee
Payroll Control Center (PCC) is a completely new way to plan and execute payroll processes, as well as a new way to follow up and check that the results are actually correct. PCC makes it possible to automate the various steps in the payroll process. That is, you take the individual points in the schedule and enter them into the system. Some tasks can be performed by the system itself, some tasks are done manually and some tasks are performed in a combination of the two.
Even if a task is to be done manually, such as downloading tax cards, it is part of the process, and it is important to include it in the list of tasks. Once you have completed a task, the system continues on to the next task or process. This system becomes a tool that ensures control and documentation of the entire process. The tasks are structured, and you always have a full overview of how far you have come in the process. You also ensure the distribution of work, avoid unbalanced workloads, while documenting that everything is being completed.
Many benefits for the company
That PCC is good for those who work with payroll , I hope I have made it clear, but the solution also has many benefits for the company. Here are some important points worth noting:
- You become less dependent on individuals in the payroll department.
- The payroll administrator can check the progress by seeing the status of each case.
- You have the opportunity to divide the payroll process, with the relevant tasks, into different phases.
- The system offers advanced controls for data consistency and master data.
- You get a simple and adaptable setup of structure and roles, for example, which payroll employee is responsible for which employees.
- You can predefine, and thus automate, the productive payroll settlement, which is often a large manual process.
- A-melding, or EDAG, can be included in the system in an efficient way.

In short, PCC is a solution that saves a lot of time for both individual employees and the company as a whole, and leads to a simpler and more structured workday.
The prerequisite for using Payroll Control Center is that you have payroll in either SAP HCM (also often called OnPrem) or in SuccessFactors EC Payroll (Cloud).
