Thoughts on holiday pay earned abroad in the A-melding

By Tor Flugsrud, Sariba

Everything may not have been much better before, but some things were undoubtedly simpler. For example, reporting holiday pay earned abroad.

Holiday pay earned abroad is paid in SAP on the wage types OF31 «Paid holiday pay. abroad »and OF32« Utbet. FP> 60 years abroad ». In the A-message, these payments must be reported with:
Specification: country code and any indicator of earnings on the continental shelf
• Additional information: period of accrual

Nearby to resort to tricks

As long as an employee has vacation pay earned in a country other than Norway, that's fine. Then simply register the country of accrual and period of accrual in records in infotype 3363. But already when accruing in country number 2, you face a challenge. All holiday pay earned abroad is paid out in one and the same pay type OF31 (+ possibly OF32 for senior holiday pay). This means that it is not possible to report two countries of accrual and distribute the paid holiday pay between them.

Therefore, it is approachable to resort to a trick we used for the previous salary and deduction task. For example, we created payroll categories to move amounts from code 111A to 113A. Now we can create payroll categories in a similar way to move holiday pay reporting from one country to another.

Generation rules for holiday pay earned abroad

SAP gives us two generation rules (002 and 058) for payroll earned abroad, and two generation rules (018 and 059) for holiday pay earned abroad. These are linked to subtypes 9901 and 9906 of infotype 3363 for reporting the country of earnings. This means you can easily run into problems if you have to report holiday pay and ordinary for the same month payroll earned in several different countries. But luckily it is SAP more flexible than that! In the same way that you can create several wage types, you have the option of creating several generation rules. This opens up the possibility of several different subtypes of infotype 3363 that can be used for reporting different earning countries.

How do you create your own generation rules? A good tip is to look at descriptions from SAP for creating new generation rules. As for example in the appendix to note 2464561.

Works fine when scope is small

The prerequisite is of course that you can keep track of both the earning country and earning periods for the various employees. If you have this overview, you can spread the reporting of holiday pay paid on wage type OF31 in different countries and periods using manual migration wage types. Such a solution would be the simplest, considering the configuration requirements in SAP , and should be completely easy to use if the number of employees earning holiday pay in several countries is relatively small.

Sariba has developed automatics

If, on the other hand, you have a significant number of employees who earn holiday pay in several countries, a more advanced solution should be considered. Sariba has previously designed and implemented a solution for automatic reporting of payroll earned in various countries in the A report. We have now extended this solution to keep track of the holiday money earned in various countries over the course of a year. In this way, the reporting of paid holiday pay earned in different countries and periods in the A report in subsequent years is also automated.
